IOM in Poland implements projects aimed at the private sector to promote ethical recruitment, respect for the rights of migrants and migrant women as well as the elimination of forced labour from value chains and the prevention of human trafficking.

Job description

Under the overall supervision of the Head of Resources Management and the direct supervision of the Senior Finance Assistant, the successful candidate will be accountable for providing finance support for IOM Poland.

 

Core Functions / Responsibilities:

  • Extract and input data from various sources in financial or accounting systems;
  • Respond to accounting, budget or financial queries from staff in the unit and elsewhere;
  • Assist in the preparation of the payroll by executing validity checks on monthly payroll results;
  • Review all types of payments starting from purchase to payment requests verifying that they are duly authorized, and all the supporting documents are attached therewith;
  • Perform Accounts Payable entries in PRISM to ensure timely and correct charge to projects;
  • Perform payment requests compliance check in line with IOM finance policies and instructions;
  • Maintain daily entries in mission Cash Book accounts to ensure correct and timely charge to projects;
  • Assist in the preparation of budget, accounting, financial, statistical reports and other reports as required;
  • Provide assistance to all staff services such as travel, expense claims, document retrieval, etc.;
  • Responsible for the Petty Cash of the office;
  • Ensure regular submission and review of operational advances and TEC settlements;
  • Perform other related duties as required

Requirements

Education

  • High School diploma with four years of relevant experience; or,
  • Bachelor’s degree in Business Administration, Accounting, Finances, or related fields with two years of relevant professional experience.
  • Master’s degree will be considered as advantage

Experience and Skills

  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
  • Previous experience in SAP is a distinct advantage;
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
  • Familiarity with local accounting requirements;
  • Demonstrated ability to work well under pressure and keep deadlines;
  • Strong work ethics and commitment.

Languages

  • Fluency in Polish and English is required.
